Please take a few minutes to read this Privacy Notice carefully as it contains important information about how Cover Direct Ltd will use and share your personal information, what your data protection rights are and how you can contact Cover Direct Ltd.
In the Cover Direct Ltd Privacy Notice only, references to, 'we', 'our', or, 'us', shall mean Cover Direct Ltd and, 'you', or, 'your', shall mean you as the customer.
This website is owned and operated by Cover Direct Ltd and is intended for use only by consumers in the United Kingdom. Cover Direct Ltd takes the protection of your personal data very seriously and as a business, we abide by the relevant rules of the UK Data Protection Rules (“GDPR”) and the Data Protection Act 2018.
Our privacy policy explains what information we collect from you, what we do with it, how we keep it secure and the circumstances in which we provide it to third parties.
In relation to regulated products only, and our service in relation to the same, we are Authorised and Regulated by the Financial Conduct Authority. You can view our Financial Conduct Authority (FCA) register entry at: https://register.fca.org.uk
We obtain and process personal data in different ways depending upon the purpose of the processing and way in which we obtained your personal data.
Where your data is held
Your information is held on Cover Direct's own servers in the UK, operated for us by Contabo in Portsmouth, and backed up securely in London. Some of the services we use to contact you are based outside the UK, which we explain below; where that happens, your data is protected by the safeguards UK law requires.
You can at any time ask us to tell you what personal data relating to you we hold.
You have certain legal rights in connection with our processing of your data. They are explained at the end of this Privacy Policy.
If you are at all concerned about our processing of your data, please let us know by contacting our Data Protection Officer at: info@coverdirect.com
Customer Data
Our aim is to help you plan your financial future. To provide this service, we need to know about your personal situation and we may request sensitive and private information about you, for example, your income, current financial arrangements, health and family commitments.
If you are unable or unwilling to provide some or all of this information, we will be unable to provide you with our service or information suitable for your circumstances.
Where you provide information about others (perhaps a quote for joint life insurance) you must ensure that they have read this Privacy Statement and agree that you may provide their information.
If we gather, or you send us, any other personal data or post it to our website we will store it as your data.
We also collect data about your visits to our website and the pages that you viewed to enable us to optimise the performance of our site and establish your preferences.
From time to time, we may request additional information. If we do, it will be clear what we are requesting. We only request information relevant to the product/service you are enquiring about or to establish your preferences.
We store IP addresses in order to stop unwanted traffic (i.e. spam) to our site. It enables us to see from which IP address (i.e. computer or location) anything comes. So, for example, if we become aware that spam is coming from a particular IP address, we can block that IP address.
Purpose
We use your personal data for the following purposes:
- To introduce you to a range of products from the insurers we are associated with (or may be associated with in the future)
- To register or apply for quotes, products or services, on your instruction.
- To help with administration.
- To contact you with details of changes to products you have bought.
- To respond to an enquiry submitted via our online contact forms, or if you contact us by telephone, email, or SMS/IM.
- To assist us with any necessary business analysis or research that may be needed and improve our websites and services.
- To ensure we comply fully with the law and Financial Conduct Authority (FCA) requirements
- To process and deal with any complaints or enquiries made by you;
- To prevent fraud and money laundering, we may pass your details to other companies, public bodies including the police or to an insurer’s database. Insurance companies can search databases for any relevant information that exists about you
Once your personal details have been provided to a product or service provider they will become the “controller” of that data and the terms of their privacy policy will apply.
We may monitor and/or record calls for the purposes of quality control and staff training, regulatory compliance, and to resolve disputes. We will never share these call recordings with any third parties unless legally required to do so for regulatory purposes or in the case of fraud or suspected fraud.
Direct Marketing
If you request a quote or purchase a product or service using our service then as our customer, we would like to contact you by email SMS/IM and display notifications about similar or related products and services about which we think you might like information. Under the Privacy and Electronic Communications (EC Directive) Regulations 2003 (PECR), we send such communications on the basis of the existing customer (soft opt-in) exemption. You will always be given an opportunity to opt out of such messages and we will never send such messages if you have opted out: https://coverdirect.com/unsubscribe
We will only send you marketing material about products or services other than those that we have previously provided, or discussed with you, with your consent. That consent can be withdrawn by you at any time.
Retention
We will keep your personal information confidential and secure, and only for as long as we need it:
- If you take out a policy through us: for the life of the policy plus six years, and never less than 15 years from when we advised you, because a complaint about advice can arise many years later.
- If you enquire but do not go ahead: for six years from our last contact. Any health information you gave us is kept for three years from our last contact.
- Messages between us (emails, texts and WhatsApp): six years, or as part of your policy record where they relate to advice.
- Your marketing preferences: for as long as they apply, plus six years, so we can show what you agreed to.
- Identity checks for anti-money-laundering purposes: five years after our relationship ends, and never more than ten.
We will use it with care and it will only be shared in the ways explained in this statement, or if we are required to by Law or the Financial Conduct Authority (FCA)
In addition, we will make every effort to ensure that the information you provide is recorded accurately.
Legal Basis for Processing
Much of our processing of your data is done under “Legitimate Interest” and we do not require your explicit consent except in relation to data about your health.
We have a legitimate interest in processing your data, largely because you have asked us to do it and it is also necessary to allow us to fulfil our obligations to you. If you ask us to apply for a product on your behalf, it is necessary for the performance of a contract to which you are a party, as well as compliance with legal obligations to which we as the controller are subject.
Consent
We only need your consent to process information about your health. We will obtain that consent when you first provide us with that information. You can withdraw it at any time by visiting: info@coverdirect.com
We will then stop using it and we may be able to delete it from your records.
Data storage and sharing with others
Much of the information you provide will be passed to the insurer whose products you ask us to apply for on your behalf, and details of how they use it are in their own privacy information. The insurer may also share information with us so that we can contact you about your application, your policy or a missed payment. We may pass your information to service providers we contract with to give you quotes or process applications for the products you are interested in.
If you are looking for a product or service we cannot help with, then at your request we will pass your relevant details to the firm we introduce you to.
We have appropriate contracts in place with everyone we share your information with, to protect it and keep it confidential.
If our business were ever sold, your data would be transferred to the buyer so that they could use it in the same way as we do now.
The services that process data for us
These companies process data on our behalf, only on our instructions, under contracts in the form the Information Commissioner's Office requires:
- Contabo hosts our systems in the UK, and Google Cloud stores our encrypted backups in London.
- Microsoft 365 runs our email and our advisers' calendars.
- Resend sends our emails, such as booking confirmations, from Ireland.
- Twilio sends and receives our text messages, and delivers WhatsApp messages, in the United States. This transfer is protected by the UK Extension to the EU-US Data Privacy Framework.
- WhatsApp (Meta) carries the WhatsApp messages we send you, such as reminders about your call. They never contain details of your health.
Advertising measurement, only if you agree
If you came to us through one of our adverts and tick the optional box on our enquiry form, we send Meta and Google your first name, surname, email address and mobile number in a scrambled (hashed) form, with your browser type and IP address. This lets them tell us whether our adverts are working and helps improve them. It is not used to follow you around the internet, and we never share your health information. You can withdraw your agreement at any time by emailing info@coverdirect.com.
Use of cookies
Our website does not set cookies or store anything else on your device to track you.
To understand how the website is used, we count visits with our own analytics tool, which runs on our own servers and uses no cookies. It records things like which pages were viewed, the type of device and browser, and which website or advert brought you here, but not who you are.
When you send us an enquiry or book a call, our booking system sets one security cookie. It protects the form from misuse and expires after 30 minutes. It is strictly necessary for the form to work, so we do not ask for consent to it.
If you came to us through one of our adverts and you choose to let us share your details with Meta and Google on our enquiry form, we tell them that you made an enquiry, so they can measure how our adverts perform. We only do this if you agree, and you can ask us to stop at any time.
Our pages show our rating from Trustpilot and use fonts from Adobe. These are loaded from their own services, which can see your IP address when they send them.
Your rights in connection with personal information
Where we are processing your personal information for direct marketing purposes:
- Request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.
- As the processing of your personal information is necessary for a legal obligation placed upon us by the FCA and may be required for the establishment, exercise or defence of legal claims, we will not be able to permanently delete your personal information until the end of the period we have deemed necessary
- If you want to review, verify, correct or request erasure of your personal information, or object to the processing of your personal data, or request that we transfer a copy of your personal information to another party, please contact our Data Protection Officer at: info@coverdirect.com
Complaints
If you wish to complain about our processing of your data, or for any other reason, please contact us on coverdirect.com/complaints
You have the right at any time to make a complaint about our processing of your data to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection issues. https://ico.org.uk/make-a-complaint/
